Position Overview:

Kensington Soccer Club has continued to expand since its inception in 2010, now reaching more youth and young adults than ever before. As we continue this growth and establish ourselves as a larger grassroots organization here in Philadelphia, we are seeking an experienced operations manager to help guide us into the next phase of our existence.

The Administrative Assistant plays a crucial role in ensuring the smooth functioning of a non-profit soccer club by providing essential administrative support. Your responsibilities will span various tasks.

Responsibilities:

Staff Onboarding

  • Prepare and issue offer letters to prospective hires.

  • Connect new employees with our health insurance broker.

  • Coordinate and conduct background checks for new team members.

  • Manage and set up employees on QuickBooks Time for efficient time tracking and payroll processes.

Payroll

  • Oversee payroll processes, ensuring accurate and timely payment to employees and contractors in compliance with relevant regulations.

  • Keep KSC’s transactions in QuickBooks labeled and up to date each month.

  • Work with program directors to monitor, review, and approve time in QuickBooks time.

  • Serve as point of contact for our health insurance broker.

Administrative

  • Develop and maintain processes and methods for the sharing of and storing of key organizational knowledge and information via digital (Monday.com, Google Drive, etc.) and physical filing systems.

  • Support recruiting process as needed.

  • Monitor incoming mail to the organization and refer administrative tasks to them to the correct staff person or complete them yourself.

Desired Experience, Skills, & Qualifications

  • Proven experience as an administrative assistant or a similar role, preferably within a nonprofit organization.

  • Experience running payroll for an organization or business.

  • Experience building and implementing systems and processes.

  • Computer proficiency & eagerness to learn: QuickBooks Online, Google Workspace, Monday.com, Microsoft Office products, etc.

  • Proven high level of organizational and interpersonal skills.

  • Ability to plan and think critically and meet deadlines.

  • Team player, willing to work collaboratively within the organization and foster good communication between departments.

  • Knowledge of nonprofit regulations and compliance requirements is a plus.

  • Familiarity with Kensington and the surrounding neighborhoods in Philadelphia is a plus.

Pay: $18-22/hour (depending on experience).

Schedule: 20-25 hours per week, Monday through Friday, with some flexibility to set your own schedule, as long as most work is done some time between 10am and 6:30pm.

Location: Most work and meetings can be done from home, but our office is always available. Some limited in-person work will be required.

Classification: Part-time, hourly.

Benefits: Paid time off (4 hours accrued for every 40 hours worked)
